What are the inventory management problems and how we can solve them?

The main important data in the warehouses and inventory management is the number of materials.

They must know how many materials are in their warehouses.

Also they need to categorize them and provide some reports.

We established an Inventory Management that shows a lot of useful reports base on the barcode of each material in some pharmaceutical companies.

As you know the material of pharmaceutical companies are too expensive and It’s difficult to distinguish them from each other. It means when some of them are entering/Exiting to/from warehouse the employee may make a mistake.

If the transaction of import or export record wrongly, consequently the inventory report will be wrong.

as a qualified quality management system We need to find the cause of the error and prevent the error.

In quality management this is called preventive action.

Nowadays companies have a huge records of transaction between their warehouses. In other hand the information of warehouses are the main part of feed for other departments such as production, planning ,….

Well, lets take a look on the below picture:

In this model there are several suppliers, warehouses and department of productions.

Damaged raw materials may be returned to the suppliers so each warehouses can deliver or get back.

Because of some limitations warehouses may send their material to each others.

The production unit is constantly receiving or returning goods to warehouses.
Yet how can a precise inventory of the moment be announced? inventory management helps us to manage all the transaction base on a proper mechanism.

To solve the problem we must divide it to small pieces. How? assume you sit on the one of the warehouses and you are responsible to monitor and confirm each transaction input or output. so in each transaction you must mention the following fields:

Transaction ID: The unique Code assigns to each transaction.

Warehouse Name: The Name of warehouses must be specified.

Warehouse Operator: The person in charge of the warehouse must be identified.

Transaction Type: Input or Output

Receiver /Deliverer: Who took the material from the warehouse? Or who delivered the material to the warehouse?

Material Name: Whats The Name of Material. Its recommended to define a code for each material and register its code instead of the name. if you run barcode base system the barcode has the code and the name of material by default.

Number of Material: the Number of material that entered or exited.

Date, Time: Each transaction occurs at a specific time and the exact date and time must be entered.

In order to the huge number of transaction happens every day, the form of transaction must be simple and user friend.

So to prevent duplication we offer the following form for each warehouse:

It is better than the previous form but it has a big problem yet. How can we make sure that the warehouse operator correctly identifies the materials?

The name of materials are same sometime, Its difficult to distinguish the code of materials by eyes.

So the best solution is using a tools to identify and enter data.

Barcode-oriented Inventory Management


in this model all materials have a tag that includes a barcode, so when barcode reader read the barcode, in the database searches its name and material code. In the end all information about them will be correct and it does not depend on the operator.
